Understand the Problem
Understand why valuable operational information remains hidden across existing infrastructure.
The Problem With Spreadsheet-Based Monitoring
Spreadsheets are excellent calculators and poor operational records. Understanding the difference explains most monitoring failures.
What Gets Lost When You Record Only the Number
A reading is a small package of information. Most sites keep only one part of it and discard the rest.
Why Analogue Does Not Mean Obsolete
The instrument is rarely the limitation. The absence of a record is.
Practical exercise 01
OptionalIdentify a manually monitored asset
Choose one asset on your own site that is read by a person rather than a system. A gauge, a meter, a sight glass or a logbook entry is ideal. Record the following for that asset.
- 01Asset type
- 02What it measures
- 03Unit of measurement
- 04Current reading frequency
- 05Where readings are currently stored
Keep your notes. The next two exercises build on the same asset.
Apply this with a real asset
Got a meter or gauge someone still reads manually? Send us a photo and see what its digital record looks like in AsTrack.
Try it with an assetDigitise the Data
Learn how existing infrastructure starts producing structured digital information without requiring wholesale replacement.
From Manual Reading to Digital Asset History
How a walked round becomes a continuous, queryable history without changing the round.
Why Timestamps and Source Images Matter
Provenance is the difference between a number you report and a number you can defend.
Understanding Expected Operating Ranges
A reading only becomes useful when you know what normal looks like for that asset.
When to Scan, Automate or Integrate
Three ways to get a reading into a record, and a simple test for choosing between them.
Practical exercise 02
OptionalEvaluate the current record
Look at the most recent record for the asset you selected in the first exercise and answer each question honestly. Gaps here are normal and are the point of the exercise.
- 01Is the asset uniquely identified?
- 02Is the reading timestamped?
- 03Is the source image retained?
- 04Is the unit recorded?
- 05Is an expected operating range defined?
Each question you answer with no is a specific, fixable weakness in the record rather than a fault in the asset.

Try it with an assetUse the Evidence
Understand how operational readings become useful evidence for maintenance, asset management and wider reporting.
From Reading to Evidence
What separates a number in a system from a record that will stand up when it is questioned.
From Plant Room to Sustainability Reporting
Sustainability reporting runs on the same readings your maintenance team already takes. Here is how the two connect.
Practical exercise 03
OptionalConsider how the information could be used
Using the same asset, consider what the information would be worth if it were captured properly and held over time.
- 01Could trends provide value?
- 02Would exception monitoring help?
- 03Could this information contribute to maintenance decisions?
- 04Could it contribute supporting evidence to reporting?
- 05Should this asset remain manually monitored, become automated or be integrated?
Your answers form a short, defensible case for how this asset should be monitored from here.
